Terms of Service
These terms are an agreement between Callum Jones, trading as Solar Mailshot ("we", "us") and the business that creates a Solar Mailshot account ("you"). They apply to every search, campaign, credit purchase and mailing made through the service. By ticking the box at sign-up you confirm you can agree to them on behalf of your business.
1. Who the service is for
Solar Mailshot is for businesses that sell or install solar panels, batteries and related products in England, Scotland and Wales. It is a business-to-business service. You must not use it as a consumer or for any personal purpose.
2. What we provide
We help you find homes that are likely to suit solar, prepare a personalised letter for each one under your brand, and print and post it through our print partner. The service includes:
- Targeted Mailshot: homes in a territory you choose, graded A+ to C.
- Tell the Neighbours: homes near an installation you have completed.
- Mail Your Own List: letters to addresses you upload, after we check each roof.
- Optional personal web pages for each home, reached by a QR code on the letter, where homeowners can send you an enquiry.
Before you pay we remove properties that are unlikely to convert, including flats, known council property (recorded as social rented), commercial and listed buildings. These checks rely on public and licensed data and will not be perfect. After payment we run further checks, including for solar panels already on the roof. Any home removed at that stage is taken out of your mailing and its credit is returned to your account.
Homes you buy through Targeted Mailshot are reserved for you: from the moment you pay they are removed from other installers' searches, and they stay reserved for 6 months from the date your letter is sent. Homes reached through Tell the Neighbours or Mail Your Own List are not reserved.
3. Marketing information, not a survey
Roof grades, panel layouts, generation and savings figures are estimates made for marketing. They are not a survey, a design, a quotation or advice. You must not present them as such, and you remain responsible for surveying each property and for every quotation and contract you make with a homeowner.
4. Credits, prices and payment
Letters are paid for with credits or by card at checkout. One credit pays for one letter, printed and posted. Prices are shown before you pay. Where VAT applies, it is added at checkout and shown separately. Credits do not expire while your account is open. Unused credits are not refundable. If a letter you paid for is not sent, for example because the home has asked not to receive letters, already has solar panels or could not be posted, its credit is returned to your account.
Payments are taken by our payment provider, Stripe. We do not see or store your card details.
5. Your responsibilities
You agree to follow our Acceptable Use Policy, to keep your login details secure, and to make sure everything you add to a letter or web page (your branding, offers, accreditations and wording) is accurate, lawful and yours to use. You must deal promptly and fairly with every homeowner who contacts you, and stop contacting anyone who asks you to.
6. Letter content and approval
You approve each batch before it is printed. Once a batch is approved and sent to print it cannot be recalled. We may refuse or remove any content that we reasonably believe breaks the law, these terms or our Acceptable Use Policy.
7. Data protection
How we use personal data is explained in our Privacy Policy. Where we handle personal data for you (your own uploaded lists, and enquiries homeowners send you through your web pages) our Data Processing Agreement applies and forms part of these terms.
8. Intellectual property
We own the service, its software, data and designs. You own your branding and the content you supply, and you give us permission to use it to provide the service. You may use the letters and web pages we produce for you for your own marketing.
9. Availability and changes
We aim to keep the service available but do not promise it will be uninterrupted. We may change or improve the service. If we change these terms in a way that matters, we will tell you and ask you to accept the new version before you next use the service.
10. Liability
Nothing in these terms limits liability that cannot legally be limited, including for death or personal injury caused by negligence, or for fraud.
We do not promise any number of enquiries, sales or installations, and we are not liable for lost profits, lost business or indirect loss. Otherwise our total liability to you in any 12 months is limited to the amount you paid us in that period.
11. Suspension and ending
You can close your account at any time. We may suspend or close an account that breaks these terms or our Acceptable Use Policy, or where we reasonably suspect fraud. Approved batches already sent to print will still be posted.
12. General
These terms are governed by the law of England and Wales and the courts of England and Wales have jurisdiction. If any part is found unenforceable the rest still applies.
